Under the direct supervision of the Administrative Supervisor of Practice Operations, the Medical Records File Clerk is responsible for the organizing, maintenance, filing, updating of patient records, and indexing documents into medical records for ProHealth Physicians' offices. The Medical Records File Clerk performs many organizational tasks to ensure the professionals they support have the most accurate and up-to-date documentation.
Primary Responsibilities:
  • Putting files, digital paper charts, into their proper patient files
  • File laboratory X-ray documents, slips and other information to current chart
  • Review and verifies data entered into database to ensure accuracy (demographics, dob, insurance etc.)
  • Creates electronic / paper files needed to store documents
  • Reviews records to identify files that can be shredded or submitted to records storage
  • Submits files to records management using appropriate procedures / forms
  • Ensure records are labeling, filed and protected medical records from loss or defacement prior to the end of retention periods
  • Maintain data collection for potential acquired practices
  • Maintain strict confidentiality of all medical records
  • Sorting, delivering, picking up and sending mail

  • Provide coverage for the Front Desk Associate daily for lunch and breaks, and any absences both planned and unplanned
  • All other duties as assigned

Required Qualifications
  • High school diploma/GED required
  • 1+ year of experience in handling medical records in a licensed medical facility
  • Proficient in computer programs, including Microsoft Office and Outlook
  • Beginner to Intermediate level proficiency with Microsoft Excel
  • Ability or
experience filing (both alphabetically and numerically with accuracy)
  • You will be asked to perform this role in an office setting or other company location
  • Employees are required to screen for symptoms using the ProtectWell mobile app, Interactive VoiceResponse (i.e., entering your symptoms via phone system) or a similar UnitedHealth Group approved symptom screener prior to entering the work site each day, in order to keep our work sites safe. Employees must comply with any state and local masking orders. In addition, when in a UnitedHealth Group building, employees are expected to wear a mask in areas where physical distancing cannot be attained
