Work Hours/Shift:
  • Full Time / Day
You Will Be Responsible For:
  • Composes, types and distributes correspondence such as letters, memorandums, policies, reports, and presentations from either notes, drafts or dictation in an accurate, neat and timely manner as assigned.
  • Files all correspondence, policies, reports, forms, applications and resumes etc., in appropriate location in an orderly fashion on a daily basis.
  • Manages multiple schedules and coordinates meetings and conferences. Prepares meetings in advance including, but not limited to, materials, location and food if necessary.
  • Scans/faxes materials upon request. Copies and collates materials, files master copies as appropriate.
  • Provides additional support to all of Administration, Office Managers and Providers when needed.

What You Will
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook
  • Strong organizational and communication skills
  • Ability to coordinate work flow and develop a follow-up system to ensure the completion of tasks
  • High school graduate or equivalent.
  • 2+ years Administrative Assistant/Secretarial experience strongly preferred.
  • Demonstrates ability to communicate by reading, writing legibly, speaking and comprehending English effectively in order to carry out job requirements.
Job Summary:
The Administrative Assistant is responsible for providing general administrative support to professionals within the organization including, but not limited to, one of more Vice Presidents, Directors, Associate Directors, Office Managers or Physicians. Utilizes a broad understanding of the organization’s operations, policies and procedures and handles confidential and sensitive material. General duties include maintaining office supplies, files and records in accordance with internal procedures, receiving and referring visitors and telephone callers, responding to routine requests for information, opening and distributing mail, responding with form letters to routine requests, typing routine letters and memoranda, assembling relevant data and compiling information as directed, producing a variety of correspondence and reports, and maintaining appointment calendars.
