Admin Support Specialist

The primary purpose of this position is to provide support to the faculty within the Division of Allergy, Immunology, and Rheumatology including administrative coordination for the operation of the Food Allergy Initiative. Primary duties and responsibilities include: Scheduling ? Coordinate and oversee calendars for Food Allergy and AIR division faculty ? Arrange recurring and ad hoc meetings including: Food Allergy bi-weekly staff and lab meetings, Food Allergy Core Team meetings, study monitor meetings, research collaboration meetings, and allergy fellow sub-meetings Meeting/Event Planning Coordinate and facilitate details for special events including annual research program meetings, fundraisers, and compliance activities for research data and safety: ? Annual FARE walk ? Annual Data and Safety Monitoring Board meeting Materials Development Assist faculty by developing, preparing, editing, formatting, and distributing materials including: ? Agendas/itineraries ? Meeting minutes ? Research reports, proposals and grants ? Newsletters ? Annual Data and Safety Monitoring Board meeting materials ? Faculty accomplishments Communications Convey critical information to division faculty and staff, as well as external customers, from a variety of sources and through a wide range of mechanisms (listserv, websites, email, phone) ? HR announcements ? Submit updates/changes for Food Allergy website ? Manage Food Allergy email address ? Track staff vacation use/requests and alert groups as needed ? Oversee clinical trial physician coverage and arrange back ups Travel/Reimbursement ? Arrange travel accommodations for faculty and staff ? Identify funding sources fro PI, supervisor, and/or Contracts & Grants staff as appropriate ? Collect, organize and submit receipts for reimbursement ? Create and distribute schedules ? Prepare vendor invoices for reimbursement
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
