Job Description:

This position will report to the Director of Career and Internship Development, PCOM and will provide administrative and customer service support for the Poole College Career Center. The responsibilities of this position will include but are not limited to: * Serve as Co-administrator of the 12 Twenty technology. This position will be a resource for others to resolve problems, and train students and staff on the new 12Twenty technology. Independently develop of recommendations for unprecedented issues and problems and involve leadership as needed. * Assist Career Center staff in coordination and execution of special events and programs (e.g. Professional Development Expo, Career Fair Bootcamp, career fairs, employer resume review sessions, etiquette dinners, employer information sessions, on-campus interviews, mock interview training). * Accept and process career event payments * Order and accept delivery of all catering for college career events. * Manage and synchronize announcements for career events, workshops, and classes across Moodle, GradLeaders, Bulletin Board, Weekly Update, and eBillboards and make minor website updates as requested * Manage and complete all printings related to career events. * Enter job postings into GradLeaders and ePACK/Symplicity and run reports as requested from GradLeader, ePACK, Vmock, Transparent Career Center, Optimal Resume, and other career-related technology. * Conduct job posting audit. * Conduct bench marking and relevant career development research. * Assist with data collection for the annual report, employment statistics, and industry ranking related reports. * Attend and contribute to Career Center staff team meetings. * Greet and assist visitors to the Poole Career Center, answer telephones, schedule appointments as needed and take messages. Interpret guidelines, answer inquiries, advise others regarding the processes, services, and operations as applied to non-standard situations * Coordinate usage of both interview rooms in the center. * Request campus parking permits and communicate parking instructions to guests coming to campus. * Make motor pool and shuttle bus reservations for career staff travel or career events. * Reserve space in Nelson Hall and across campus for career and corporate events and communicate with corporate guests coming to campus. * Manage inventory and order supplies for office and career events as needed. * Procurement card management

Minimum Qualifications:

High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work. * Attentiveness to details, organizational skills, and ability to work efficiently and take initiative. * Experience with event planning. * Strong oral and written communication skills. - Strong computer skills, including competency with Microsoft Windows, internet browsers, and Office (Word, Outlook, Excel) or similar software. * Must be reliable, dependable and able to work independently, interpret and apply university policy and procedural guidelines, and organize workflow in the office. * Willingness and ability to be flexible to meet the needs of the Career Center and the constituents it serves is necessary.
